Privacy Policy

Trustliner Logistics Co., Ltd. (hereinafter, the “Company”) stipulates the Company’s privacy policy on the handling of personal information, with the view of protecting personal information of our customers, executives and employees that come to our knowledge in the course of conducting international transport and global logistics business, as below.

1.Personal Information

The term of “personal information” as used in this Privacy Policy means personal information as defined in the Act on the Protection of Personal Information, and refers to information relating to a living individual that, when used alone, can identify an individual (“Personally Identifiable Information”), including information containing a name, date of birth, address, telephone number, contact number or other identifier, biometric information such as physical features, fingerprints and voiceprints, and information containing any individual identification code such as a health insurance identification number.

  • The Company shall appoint a personal information protection manager and ensure the proper management of personal information.
  • The Company shall keep personal data secure and implement security controls to prevent exploitation, leakage, loss or damage through unauthorized access to personal data.
  • The Company shall not use personal information in a way that is likely to abet or induce illegal or unjust acts.
  • The Company shall make efforts to ensure that the contents of personal information are accurate and up to date within the scope necessary for achieving the purpose of use, and delete such personal information without delay when the use thereof is no longer necessary.

2.Personal information items to be collected

The Company collects the following information for identity verification:

  • Name, date of birth, age, nationality, current address, telephone number, information related to the place of employment and the like
  • Occupation, employment status, job responsibility, date of retirement, work location, personnel evaluation and the like
  • “My Number”—the Individual Number issued in Japan as an identity document, residency certificate, passport number, driver’s license number and the like

3.Purpose of use of personal information

The Company uses personal information for the following purposes:

  • To communicate/exchange information with the Company, conclude/fulfill contracts, and manage transactions with the Company.
  • To communicate with/provide information for job applicants, use in relation to hire/recruit activities.
  • To communicate business matters to employees, make payroll payments (wage, bonus, allowances), fulfill procedures relating to social insurance and personnel/labor management, offer employee welfare, use for employee health management and employment administration.

The Company may make changes to the purposes of use of personal information if a new purpose is deemed reasonably relevant to the original one. Upon making change, the Company will notify the subject individual of the changed purpose in a way prescribed by the Company.

4.Disclosure and provision of personal information to third parties

The Company shall not disclose or provide personal information to third parties without the subject individual’s prior consent unless otherwise permitted by the Act on the Protection of Personal Information and other laws/regulations:

  • When disclosure or provision is necessary to protect people’s lives, physical well-being or property, and it is difficult to obtain the consent of the subject individual.
  • When disclosure or provision is necessary to cooperate with national and/or local government bodies in their performance of public duties, and there is a possibility that obtaining the consent of the subject individual may hinder such bodies from performing the duties.

In the case of receiving personal information from a third party, the Company will make verification as required by law/regulation unless otherwise permitted by law/regulation.

5.Request for disclosure of personal information

If the subject individual requests the Company to disclose his/her personal information, the Company shall dispose the information without delay; provided, however, that in any of the following cases likely to arise from the disclosure, the Company may decline to disclose all or part of the information requested, and upon making a non-disclosure decision, the Company shall notify the subject individual of the decision without delay. Please note that the fee for each request for disclosure is 1,000 yen.

Notwithstanding the provisions in the preceding paragraph, in any of the following cases, the Company will not disclose any information other than personal information such as history information and characteristic information, as a rule:

  • If disclosure is likely to harm the life, physical well-being, property, or other rights or interests of the subject individual or a third party.
  • If disclosure is likely to seriously interfere with the proper execution of the Company’s business.
  • If disclosure would violate any law or regulation.

6.Changes to this Privacy Policy

The Company reserves the right to change this Privacy Policy without notice, except for matters otherwise set forth by law/regulation or in this Privacy Policy. Unless otherwise set forth by the Company, any updated Privacy Policy takes effect when it is posted on this Website.
